How we look after your data

1. Welcome
Thank you for trusting FluxSkills with your development journey. We know that when you share information with us, you’re placing your trust in our hands — and we take that responsibility seriously.

This policy explains, in plain language, how FluxSkills Ltd. (“FluxSkills,” “we,” “us”) collects, uses and protects your personal information when you use our platform, including our Learning Management System (LMS), AI Diagnostics, AI Simulation, and AI Coach.

We also explain our relationship with the organisations that engage us to deliver programmes (we call them “Commissioning Organisations” — they’re our clients), and how we work with technology partners who help us deliver our services to you.

2. Who Looks After Your Data
Understanding who’s responsible for your data can feel complicated, so let’s break it down simply.

2.1 FluxSkills — your service provider. We’re the team behind your learning experience. We design and deliver leadership, team, and professional development programmes, and we’re responsible for keeping your data safe while you’re with us.
​
2.2 Commissioning Organisations — your employer or sponsor. These are the organisations that engage FluxSkills to deliver programmes for their people. If you’re participating in a FluxSkills programme through your workplace, your employer is the Commissioning Organisation. They’re our client, and they may share some of your information with us (like your name and email) so we can get you set up.

2.3 How responsibility is shared. The responsibility for your data depends on where it comes from:

Information your employer provides: When your Commissioning Organisation shares your details for programme enrolment (name, email, job title), they’re typically the data controller and we process it on their behalf.

Information you create during the programme: For data you generate through participating — like your learning progress, simulation practice, coaching conversations, and diagnostic responses — both FluxSkills and your Commissioning Organisation may have a role, as we both use this information (us to deliver your experience, them to support your development).

2.4 Our technology partners. We use carefully selected technology partners to power parts of our platform — including our LMS, AI Simulation, and AI Diagnostics tools. These partners work for us: they process your data under our instructions and aren’t allowed to use it for their own purposes.

2.5 Data we manage independently. For some information, we’re solely responsible — like our client contacts’ details, website visitor data, and security logs. We look after this data under our own policies and legal obligations.

3. What Information We Collect
We only collect information that helps us deliver a great learning experience. Here’s what that looks like:

3.1 If you’re a programme participant. When you join a FluxSkills programme, we may receive some basic details from your organisation (like your name, email, and role) to get you enrolled. As you progress through your programme, we’ll also collect information about your learning journey:

Your progress through courses, modules, and activities

Your responses to diagnostic assessments and the insights we generate from them

Your AI Simulation practice sessions, including recordings and feedback

Your AI Coach conversations and goal progress

Your contributions to discussions, reflections, and peer activities

Technical information (like your device and browser) to keep things running smoothly

3.2 If you’re a client contact. When your organisation works with us, we collect contact and billing information to manage our relationship — things like names, emails, phone numbers, and contract details.

3.3 If you’re visiting our website. We use cookies and similar tools to understand how people use our site and to make it better. You can control cookies through your browser settings.
​
3.4 A note on sensitive information. We don’t ask for sensitive personal information (like health data or political views), and we’d ask you not to share it through our platform. Our tools work best when you focus on your professional development goals.

4. How We Use Your Information
We use your information to support your development and deliver excellent programmes. Specifically, we use it to:

Share aggregated insights with your organisation (without identifying you individually, unless you’ve agreed to that)

What we don’t do: We don’t sell your data. We don’t use it for advertising. Your data is here to support your growth — nothing else.

5. Our AI-Augmented Tools​
Our AI tools are designed to enhance your learning, not replace the human elements that make development meaningful. Here’s how each one works with your data:

5.1 AI Diagnostics. Our diagnostic assessments help identify your strengths and development areas. When you complete one:

Your responses are processed securely to generate your results

We use AI to analyse patterns and create personalised recommendations

Your individual results go to you and your programme facilitators — your organisation sees only aggregated, anonymised insights unless you agree otherwise

We compare pre- and post-programme results to show your growth
5.2 AI Simulation. Practice makes progress. Our simulation tool lets you rehearse challenging conversations in a safe space:

Your practice sessions are recorded so you can review them and receive feedback

Only you and your authorised facilitators can access your recordings

You can ask us to delete your recordings at any time

5.3 AI Coach. Between sessions, our AI Coach is here to support your ongoing development:

It remembers your goals and progress to provide relevant prompts

Your conversations help us personalise your experience
A gentle reminder: please keep your AI interactions focused on your professional development. Avoid sharing sensitive personal or business information that isn’t relevant to your learning goals.

6. Our Learning Platform​
Our LMS is the heart of your learning experience — it’s where you’ll find your content, track your progress, and connect with your cohort.

6.1 How it works. We use a trusted technology partner to host our LMS. They’re a sub-processor, which means they work under our instructions and can’t use your data for their own purposes.

6.2 What we do with LMS data. Your LMS data helps us:

Deliver your programme content and resources

Track your progress and completion

Enable discussions, reflections, and peer learning

Generate progress reports for you and your facilitators

Improve our programmes based on engagement patterns

6.3 Your access. You can see your own learning data, progress, and history within the platform. If you’d like a copy of your data or want something deleted, just let us know.

7. Keeping Your Information Confidential
We treat everything you share with us as confidential. Your data may be accessed by:

Your programme facilitators and coaches, to support your development

The FluxSkills team, when needed to deliver or improve our services

Our technology partners, under strict contractual controls

Your Commissioning Organisation receives aggregated programme insights — they see how the cohort is progressing overall, not your individual data (unless you’ve specifically agreed to share it).
We’ll only break confidentiality if we’re legally required to, or if there’s a serious and immediate risk of harm.

8. Keeping Your Information Secure
We take security seriously. Here’s how we protect your data:

Encryption: Your data is encrypted when it’s moving between systems and when it’s stored

Access controls: Only people who need access to do their jobs can see your information

Regular reviews: We regularly assess our security and that of our technology partners

Contractual protections: Our partners are bound by data protection agreements

Incident response: We have procedures in place to respond quickly if anything goes wrong
No system is 100% secure, but we work hard to follow best practices and keep your information safe.

9. Cookies
We use cookies to make our website and platform work well and to understand how people use them. You can control cookies through your browser settings.
Some of our technology partners also use cookies when you access their tools through our platform. We recommend reviewing their policies if you’d like more detail.

We work with trusted partners to deliver our services. These include:

To be clear: We never sell your information.

11. Sharing Your Information
We only share your information when there’s a good reason to:

With your Commissioning Organisation: They receive aggregated, anonymised programme insights. They’ll only see your individual data if you’ve agreed to that, or if they provided it to us in the first place (like your enrolment details).

With our technology partners: Only what’s needed to deliver our services, under strict agreements.

When legally required: If the law requires us to share information, we’ll comply.
We never sell your data to anyone.

12. International Transfers
Some of our technology partners operate in countries outside the UK and European Economic Area. When your data is transferred internationally, we make sure appropriate safeguards are in place.

13. How Long We Keep Your Data
We keep your information for as long as it’s needed to support your programme and any follow-up period agreed with your organisation. Under our GDPR obligations, we retain records for a maximum of 7 years, after which everything is securely deleted.
You can ask us to delete your data earlier — just get in touch. For certain records (like billing information), we may need to keep the minimum required by law.
Programme data: When a programme ends, we’ll delete or anonymise your data within a reasonable timeframe. Your organisation can request a copy within 90 days of completion.
Simulation recordings: You can ask us to delete these at any time.
Diagnostic data: We keep this to track your progress over time, but you can request access, corrections, or deletion whenever you like.

14. Your Rights
You have rights over your personal data. Under GDPR, you can:

Access your data and find out how we use it

Restrict how we process your data in certain situations

Get a copy of your data in a portable format

If your employer provided your enrolment details, they may be the data controller for that information — so it’s worth checking with them first for questions about that data. We’re happy to help either way.

15. Children
Our programmes are designed for professional development and aren’t intended for anyone under 18. We don’t knowingly collect data from minors. If you believe a child has shared information with us, please let us know.

16. Changes to This Policy
We may update this policy from time to time. If we make significant changes, we’ll let you know via email or a notice on our website before they take effect. The date at the top shows when we last made changes.
If FluxSkills is ever acquired or merges with another organisation, your information would transfer to the new entity so we can continue supporting you. We’d let you know if that ever happened.
